Modernization planning checklist

The questions to settle before a modernization project: scope, budget path, sequencing, and building impact.

Before talking to anyone

Unit-by-unit inventory complete (one equipment worksheet per elevator).
Two to three years of repair invoices and downtime totaled per unit.
Recurring issues and inspection findings listed.
Building plans that interact with the project noted (renovation, repositioning, major tenant changes).

Scope conversation

Assessment received in writing: what's failing, what's aging, what's fine.
For each proposed scope item: why this component, and what happens if it waits?
What is deliberately retained, and its remaining life?
Code-triggered items identified (work that becomes required once other work is done).
Accessibility and communication-device updates included?
Cab interior work coordinated with any building renovation?

Money and approvals

Budget path (reserves / capital plan / board vote) and timing:
Approval needed from:
Proposal states exclusions and assumptions, not just inclusions.
Payment schedule tied to milestones understood.

Sequencing and building impact

Units down at a time / cars remaining in service:
Component lead times driving the calendar:
Shutdown communication plan drafted (see the shutdown communication template).
Freight / delivery / move-in reservations during the window identified.
Inspection and sign-off step included before return to service.
Post-project maintenance arrangement agreed.
